Graphic Design Proposal Template (Free + AI Generator)

A great graphic design proposal does two things: it shows the client you understand their brand goals, and it protects you from the scope creep that derails most design projects.

Generic templates don't do either. This guide gives you a complete, ready-to-use graphic design proposal template — with the specific sections that matter most for design work — plus a way to generate a custom version for any project in under a minute.

What Makes a Design Proposal Different

Design proposals need a few things that other freelance proposals don't:

Visual deliverables need precise specs. "Logo design" is not a deliverable. "Primary logo in SVG/AI/PNG (horizontal and stacked variants) + one-color version + reversed version on dark background" is a deliverable. Vague scope is where design disputes start.

Revision rounds must be explicit. Design is subjective. Clients who feel they can keep revising indefinitely will. Define the number of revision rounds per phase and what counts as a "revision" vs. a "new direction."

File formats and ownership need to be spelled out. Who owns the final files? What formats are delivered? Do you retain source files? This avoids uncomfortable conversations later.

Moodboard/concept approval is a gate. Getting explicit sign-off on visual direction before execution prevents "I thought it would look more like..." after delivery.

Graphic Design Proposal Template

Design Proposal
Prepared by: [Your Name / Studio]
Prepared for: [Client Name], [Client Company]
Project: [Brand Identity / Campaign / Print / Digital]
Date: [Date] | Valid for 30 days

Project Understanding

Thank you for the opportunity to submit this proposal. Based on our discussion on [date], I understand that [Client Company] needs [specific design deliverable] to [goal — e.g., "launch a new product line that appeals to health-conscious millennials"].

The design must communicate [3 adjectives: e.g., "modern, approachable, premium"] and differentiate [Client Company] from [key competitor or comparison point].

Scope of Work

Included deliverables:

  • [Deliverable 1 — e.g., Primary logo mark + wordmark in full color, one-color, and reversed variants]
  • [Deliverable 2 — e.g., Brand color palette (HEX, RGB, CMYK values)]
  • [Deliverable 3 — e.g., Typography system: 2 typefaces with usage guidelines]
  • [Deliverable 4 — e.g., Brand pattern / secondary graphic elements]
  • [Deliverable 5 — e.g., Brand guidelines PDF (12–15 pages)]
  • [Deliverable 6 — e.g., Business card and letterhead templates]

File formats delivered:

  • Source files: [Adobe Illustrator (.ai) / Affinity Designer (.afdesign) / Figma]
  • Export formats: SVG, PNG (transparent background), PDF, JPG
  • Print-ready: CMYK PDF with bleed where applicable

Not included in this scope:

  • Photography or illustration (unless specified above)
  • Website design or development
  • Social media template creation (available as add-on)
  • Printing or production costs
  • Motion graphics / animation
  • Packaging design (available as add-on)

My Process

Phase 1 — Discovery (Days 1–3) Brand questionnaire, competitive audit, and reference gathering. I'll send you a short questionnaire to understand your target audience, brand personality, and visual preferences.

Phase 2 — Moodboard (Days 4–5) I'll present 2 moodboards showing different visual directions. You choose one (or a blend). This is the "north star" phase — once approved, the visual direction is locked.

Phase 3 — Concept (Days 6–12) Based on the approved moodboard, I'll develop [X] initial logo concepts. You select your preferred direction for refinement.

Phase 4 — Refinement (Days 13–18) [X] rounds of revisions on the selected concept. Each revision round must be consolidated into one set of feedback.

Phase 5 — Finalization & Delivery (Days 19–21) Final files exported in all agreed formats and organized in a delivery folder. Final brand guidelines document compiled.

Revision Policy

Phase Revision rounds included
Moodboard 1 round
Logo concepts [X] rounds
Final refinements [X] rounds

A "revision" means changes within the approved visual direction. A request for a fundamentally different direction after Phase 2 approval constitutes a new scope item and will be quoted separately.

Additional revision rounds beyond what's included: $[X] per round.

Why This Template Wins More Projects

The moodboard approval gate is your best friend. Getting written sign-off on visual direction before executing prevents the most common design dispute: "This isn't what I imagined." Without this gate, clients conflate "I don't like this" with "you did it wrong."

Explicit revision rounds prevent scope creep. Clients who know they have 2 revision rounds use them intentionally. Clients without a defined limit will keep revising forever. Define the rounds — and what counts as one.

Three-tier pricing increases average project value. The middle tier (Brand Foundation) is your actual target. The top tier (Brand Launch) makes it feel aspirational. Most clients land on the middle.
